Why an RWA communication policy matters

When residents do not know which channel is official, how often updates will come, or who can speak on behalf of the committee, misunderstandings are guaranteed. A short policy solves this.

Section 1: Purpose and scope

Explain that the policy exists to keep information accurate, timely, and accessible to all residents. Clarify that it applies to committee members, staff, and residents.

Section 2: Official channels

List your official channels—for example:

  • Digital notice board inside your society app
  • Email updates from a specific address
  • Printed notices for critical updates (optional)

Make it clear that updates shared only in informal WhatsApp groups are not considered official.

Section 3: Types of communication

Define how different messages will be handled:

  • Emergencies
  • Routine maintenance updates
  • Policy changes
  • Events and community programmes
  • Individual complaint updates

Section 4: Response times

Set expectations for when residents can expect a reply to:

  • General queries
  • Complaints
  • Suggestions

Even simple ranges like "within 24 business hours" help reduce frustration.

Section 5: Behaviour and tone

Ask everyone to keep communication respectful, specific, and focused on issues rather than individuals. This helps keep digital spaces healthy.

Section 6: Review and updates

State that the policy will be reviewed annually and updated based on resident feedback.

Publish this policy inside your society app and refer to it whenever questions arise. Over time, it becomes the backbone of calm, consistent communication.
